Privacy notice

Plain language, no hedging: what we collect, why we process it, who can see it and what you can demand from us. Last updated 15 August 2026.

1. Who we are

SolveFlex provides a subscription Business Operating System — an ERP portal, POS terminal, online store and mobile app delivered inside a Business Workspace. This notice explains what we do with personal data and workspace data.

2. Two kinds of data

Account data identifies a person: name, email, phone, password credentials and login history. Workspace data belongs to a business: products, stock, customers, suppliers, orders, invoices, payroll and accounting records. Identity belongs to the platform; workspace data belongs to your company.

3. Why we process it

To create and run your workspace, authenticate users, apply permissions, provide the interfaces you subscribe to, take payment for your plan, keep an audit trail, prevent abuse, and answer support requests you raise.

4. Support access

Our team administers the platform, not your ledgers. We can only enter your workspace if the owner grants temporary support access, which expires automatically. Every entry and key action is written to the audit trail.

5. Storage and security

Data is stored in managed cloud infrastructure with encryption in transit, access controls, automatic backups and monitoring. Access inside SolveFlex is limited to staff who need it for platform operation.

6. Sub-processors

We use vetted providers for hosting, database, storage, email delivery and payment processing. Each is bound by contract to process data only on our instructions.

7. Retention and deletion

Workspace data is retained while your subscription is active. After cancellation it is kept for a defined reactivation window, then deleted. You can request earlier deletion, subject to legal and accounting record-keeping obligations.

8. Your rights

You may export your workspace data at any time, ask for access, correction or deletion of your personal data, object to certain processing, and withdraw consent where processing relies on it.

9. Cookies

We use cookies that are necessary for authentication and session management, plus limited analytics to understand how the marketing site is used. No advertising trackers are used inside a workspace.
